Application for A1 certificates is a comprehensive process to make sure that you always have a valid A1 for social security coverage when traveling for a short business trip. Your employer has chosen to implement this tool to ensure compliance, benefiting both you and your employer while streamlining the administrative process. The Relocare Compliance App enhances the safety of your business travel and enables your company to maintain compliance and provide true care during business trips. 

Initially, you will need to ensure that your personal information is accurate and up to date. Then, you should try to estimate your expected travels for the future, specifying the country and the duration. If you do not know, and most do not, then please make a good guess. When traveling outside your home country, you will be automatically prompted to confirm whether the stay is for business or for pleasure. Possible pleasure trips will never be registred. 

Relocare Compliance App will update automatically, so you only need to ensure that you fill in the required information. The App will also prompt you on your screen when entering a new country and request information. You will have the option to correct the information later if needed.

Yes, you will have the ability to correct and add travel information in the system afterward, ensuring that the information available at any time is fully accurate and reliable in case of mistakes or omissions.

Yes, there is a forecast tab where you can input information for all your planned future trips under the “Estimates” section. This will be particularly useful for frequent travellers.

You will be required to provide all the basic personal information needed for your HR to request the A1 application at the Authority. This includes your name, address, phone number, email, nationality, social security number, employment date, title, etc. 

You can update your information directly in the App on your mobile phone or through the website.

After your personal information is added, no information will be automatically added to the App. The App will notify you when you enter a new country, prompting you to confirm if it is a business trip. It’s important to note that as no changes are made automatically, you will be responsible for updating any changes regarding your personal information, name, position, etc.

The App will ping your phone to see your location. It will not store any information in your home/work country. When your phone is turned on and you have given the App permission for Geo-location, the App will detect that you have entered another country in EU/EEA, but we will only store the country, not the city or area you are in. Your information will be stored securely on EU-based servers and in accordance with the GDPR rules and regulations of Europe, and used only to assit you and your company to be safe and compliant.

You can turn off the permission for location tracking on your phone. However, we do not recommend this, as one of the main purposes of the Relocare Compliance App is to keep you safe during your business travel, and avoid you loosing your social security. We help you by tracking and alerting you when you cross a boarder too. If you do not have a valid A1 for your travel, both you and your HR is informed. This is essential to keep you safe, and help your employer to meet compliance requirements and avoid potential fines and demand for social security payment in the EU/EEA country you are visiting. 

Your HR and appointed administrator will have direct access to initiate and process the A1 application. Your employer will have access to general information about your travel pattern, identified by your name and countries you are traveling to for business purposes. 

Authorities will not have access to the App, but your personal information will be used to apply for A1 certificates at the relevant Authority in your home/work country.

The collection of information and processing will be the sole responsibility of the service provider. However, you will be responsible for the accuracy of the uploaded information. Therefore, any incorrect information resulting in an erroneous outcome or administrative turmoil will be your responsibility.

Any missing, inconsistent, or incorrect information will either result in the issuance of an erroneous certificate or make the application impossible. This will lead to non-compliance and require extra time and expense for rectification.

The App cannot use the information for any purpose other than described regarding monitoring and application for the A1 certificate. Your employer can obtain general information about your travel pattern and use this information for other EU and EEA compliance matters such as immigration need, taxation needs or registrations needed under the Posted Workers Directive. However, this infomation is only used to keep you safe and compliant during your businss trip. 

Once you disconnect or the service contract with your employer is terminated, no further collection or processing of information will be done. The information will be locked and deleted according to GDPR regulations.

If you encounter issues with internet access, you have the option to correct and enter information later, when online prompting is not possible.
